With the advent of the HRMS (Human Resources Management System) application, obtaining railway passes and PTOs (Privilege Ticket Orders) for railway employees has become significantly more straightforward. Now, employees can apply for passes or PTOs directly from their mobile phones, eliminating the need for office visits or meetings with clerks.
This article aims to guide those, especially who might not be well-acquainted with mobile and internet usage, on how to easily apply for passes and PTOs using the HRMS system.

Step-by-step Process:
- Initial Setup: First, ensure that you are registered on HRMS. If not, you can refer to our post on ‘How to Register on HRMS?’.
- Accessing the Portal: For applying for a pass or PTO, open the HRMS portal in a browser (Google Chrome is widely used). Type ‘HRMS’ in the search bar or click here to access the official website directly.
- Login: Enter your HRMS ID and password to log in.
- Selecting Pass/PTO: Click on the ‘Pass’ tab. From the dropdown menu, select ‘Pass Set List’. Choose the type of pass or PTO you want to apply for and click ‘Go’. You’ll be presented with the available pass options for the year.
- Entering Details: For new applications, click on the ‘New Application’ tab. Specify the stations between which you wish to avail the pass or PTO.
- Adding Family Members: If traveling with family members, select their names from the list. For Privilege Passes, you can also specify any break journeys if required.
- Attendant Option: If you’re eligible to take an attendant with you, there’ll be an option to select the same.
- Submission: After filling in all details, click ‘Submit’. You will receive a message on your registered mobile number confirming the submission of your application.
Checking Pass Application Status:
To check the status of your pass or PTO application, open the respective application on HRMS. You’ll be presented with a list of applied passes, their unique numbers, and approval status.
Finalizing the Pass:
Click on ‘My Issued Pass’, then click ‘Generate OTP’. Enter the received OTP. Once verified, you’ll receive a unique pass number on your registered mobile number.
Reserving a Seat with the Pass:
With your unique pass number, you can reserve a seat in the train either through the IRCTC PORTAL or at reservation centers at railway stations.
